So, you've signed up to be a Team Leader or Team Member and now you are trying to figure out what is next. You've come to the right place!
Teams are what keep the PTA running. No one can do all of the work on their own. So, dividing it up among Teams who then further divvy up the workloads of each project is the way we make things happen for our students, teachers and staff at Irmo Elementary School! Below is a list of Teams and what they do. If you're interested in serving as a Team Leader or Team Member, visit our Team Sign-Up page to see what we are in need of filling.
Team Leader - Team Leaders are responsible for running of an activity or event. Their job is to:
- Layout the tasks needed to complete the event or duty.
- Plan a timeline of events leading up to their duty/event which will ensure things like promo, communications to teachers, staff, students and parents all occur in an appropriate time frame.
- Plan promotion and get any promotion which needs distribution via our Communications Team Leader to that person with adequate time (see Communications info below)
- Arrange for any volunteers needed and communicate duties to those volunteers as well as manage them during the event.
- Arrange for the proper handling of funds for the event (requesting cash for the cash box in advance of the event as well as another board member to help make the deposit during/after the event).
- Provide reports/Team updates to the PTA Board at PTA Board Meetings. Reports should detail what has been accomplished, what is in the works and the plan moving forward.
Team Members - Co-Chairs are available to split the workload with the Committee Chair.

How do I arrange for volunteers?
You need to layout how many volunteers you need, when you need them, what tasks you need them to do and then work with the Parent Volunteer Team Leader who will set up a SignUp to recruit volunteers. This needs to be done as early as possible as once the link is ready, it will need to be sent to the Communications Team Leader for promoting through Facebook, the monthly PTA newsletter, weekly school email and various other avenues. Some of these have restricted/early deadlines so the earlier you have this set and ready to go, the more likely you are to fill your volunteer spots, especially for large events! Once the Sign up is ready, send the link to our President and she will ensure it's connected to our PTA Volunteer Sign Up account.

A signup.com will need to be set up. They are very simple and free to do. You set it up with all of the possible available slots teachers can choose for their class to visit the event. Once that is done, this link needs to be emailed to Principal Wiley so that she can send it to the teachers. This needs to be done as far in advance as possible as it is less likely to pose a problem for teacher's lesson plans. Here's an extra helpful hint: Getting this info early and making a pdf of it that the Communications Team Leader can share with parents will increase the number of volunteers you get as many parents will be encouraged to volunteer around their child's visit to the event.

How do I know how many copies to make of handouts which go to students?
This information can be obtained from Kim Weber, our school Registrar. She is extremely helpful and super fast at getting answers when needed. As the number can change from day to day as new students enroll and some students move away, you will always need to get the most up to date information from Kim.
