So, you've signed up to chair, co-chair or help on a committee and now you are trying to figure out what is next. You've come to the right place!
Committees are what keep the PTA running. No one can do all of the work on their own. So, dividing it up among committees who then further divvy up the workloads of each project is the way we make things happen for our students, teachers and staff at Irmo Elementary School! Below is a list of committees, what they do. If you're interested in serving as a committee chair, co-chair or member, be sure to reach out and let us know [email protected].
Committee Chair - Committee Chairs are responsible for the committee. Their job is to:
- Layout the tasks needed to complete the event or duty.
- Plan a timeline of events leading up to their duty/event which will ensure things like promo, communications to teachers, staff, students and parents all occur in an appropriate time frame.
- Plan promotion and get any promotion which needs distribution via our Communications Chair to that person with adequate time (see Communications info below)
- Arrange for any volunteers needed and communicate duties to those volunteers as well as manage them during the event.
- Arrange for the proper handling of funds for the event (requesting cash for the cash box in advance of the event as well as another board member to help make the deposit during/after the event).
- Provide reports/committee updates to the PTA Board at PTA Board Meetings. Reports should detail what has been accomplished, what is in the works and the plan moving forward.
Committee Co-Chairs - Co-Chairs are available to split the workload with the Committee Chair.
Book Fair Committee - We host 2 Scholastic Book Fairs per year. Each Book Fair is set up the Thursday before the week it runs so students can preview offerings on the Friday before. The Book Fair then runs for 1 week. Committee Chairs are responsible for handling getting promo information to our Communications Chair, communicating with Mrs. Catalano, our librarian in advance of the sale, arranging for and recruiting volunteers for the event as well as set up and take down (a fairly simple process which volunteers can be arranged for). Our Fall Book Fair coincides with Literacy Night. Our Spring Book Fair is a popular BOGO event.

Literacy Night Committee - Literacy Night is a free event (although families can usually purchase meals in advance) which occurs during the week of our Fall Scholastic Book Fair. Literacy Night is an event IES families attend. The event usually includes meals which can be purchased in advance, crafts, speakers, literacy games and a visit to the Book Fair. This committee chair is responsible for handling getting promo to our Communications Chair, determining the meal offerings as well as pricing for tickets, the making and distribution of tickets for meals as well as arranging all of the activities and for volunteers to handle the event.

Communications Committee - This committee is usually made up of 1 person who is often also the PTA Secretary. This chair is responsible for ensuring the website is updated regularly, posting promos for PTA events and communications to Facebook as well as maintaining and distributing the monthly PTA newsletter via MailChimp. No major technical knowledge is needed. Our website is simple point and click to edit and the newsletters are the same. Facebook posts can be scheduled out in advance so you this is a job easily done from home after work hours or on weekends.

Fundraising Committee - This committee is responsible for handling the promo, running and execution of the fundraising plan for the year as well as organizing the fundraising plan for the following school year which must be set before school lets out for the summer.
Reflections - Reflections is a PTA program which celebrates art programs. Each year, PTAs from across the nation collect and submit art projects completed by students. These This position will involve assisting the Team Leader with organizing of the Reflections. This team is responsible for coordinating the collection of art through our staff, arranging and managing the judging process and then handling the submission of finalist art projects to the regional, state and even national level.

Box Tops - This committee is responsible for distribution of Box Tops sheets to teachers for students to take home in Thursday folders, collection of Box Tops (we have a Box Top bin in the workroom where teachers place them), counting of Box Tops as well as keeping record of which class collected how many, reporting of which class collected the most each month, arranging with the teacher of that class for the class to receive the trophy (which is passed from class to class) as well as their popsicles. This committee is also responsible for getting information for promo purposes including winner reports to the Communications Committee.
Sweetheart Dance Committee - The Sweetheart Dance is a new event to IES. The 2017-2018 school year is our inaugural year. So, the plan for this event which will occur near the end of February is still forming. We would love more help on this committee!
Volunteer Committee - This committee work with the other committees on arranging for and scheduling of volunteers. This is a great committee for anyone looking for something they can do from home to help out.
